Role Overview:
Olympic Internationals Service Department HVAC Estimator is responsible for assessing service-related project opportunities, preparing accurate cost estimates, and supporting the service team in securing profitable work. This role bridges the service sales team and clients by translating technical service requirements into clear, competitive proposals. The estimator works closely with service technicians, our service sales team, and customers to ensure estimates reflect real-world conditions, timelines, and resource requirements.

 

Responsibilities:

The following is a list of the essential duties and responsibilities of this role. The tasks and time spent performing each task may vary as business needs require. Olympic International maintains the right to modify job duties and responsibilities at its discretion.  The range of specific responsibilities will include but not be limited to the following:
Estimating & Proposal Development:

  • Prepare detailed cost estimates for service work including repairs, retrofits, replacements, and new & renewal maintenance contracts.
  • Interpret service reports, site conditions, and customer requirements to define scope of work.
  • Develop accurate material, labour and equipment costing.
  • Create clear, professional proposals and quotations for clients.
  • Ensure estimates align with company pricing strategies and margin targets.

Assessments & Technical Review:

  • Collaborate with sales team & or service technicians to validate scope and technical approach.
  • Review drawings, specifications, and historical service data where applicable.
  • Identify potential risks, access challenges, and cost impacts.

Internal Collaboration:

  • Act as a point of contact for the sales team during the estimating phase.
  • Clarify project scope, timelines, and expectations with our operations team.

Cost Control & Profitability::

  • Analyze job costs and compare estimates to actual performance.
  • Continuously refine estimating accuracy based on historical data.
  • Identify cost-saving opportunities and value-engineering options.
  • Maintain up-to-date pricing for labour, materials, and equipment.
  • Stay up do date with core vendor pricing.

Documentation & Systems Management:

  • Maintain organized records of estimates, proposals, and supporting documentation.
  • Utilize business central software and our field reporting systems effectively.
  • Track bid outcomes and maintain a pipeline of opportunities.
  • Performs additional responsibilities as assigned.

 

Skills and Competencies:

Required
  • Ability to accurately interpret mechanical equipment schedules.
  • Proficiency in Microsoft Office, Business Central, Bluebeam, Google Suite, and SharePoint.
  • Strong organizational, communication, and time management skills, with the ability to manage multiple projects simultaneously, focusing on budget management, productivity, and meeting deadlines.
  • Motivated self-starter, quick learner, and open to feedback for continuous improvement and skill development.

Educational Requirements:

Education, Licenses and/or Certification, Experience Required
  • Strong knowledge of HVAC systems, components, and service practices
  • Experience in estimating, service coordination, or HVAC field work (technician background is an asset). At minimum, basic knowledge of HVAC systems such as heating, cooling, and ventilation.
