Careers Warranty Administrator

We are a sales organization that specializes in the sale of innovative and sustainable HVAC Equipment and Systems for Industrial and Commercial construction. Our sales company provides expertise and real value to our customers and their construction projects.

The Olympic HVAC Parts and Supply division team is a wholesale distributor on the Northshore that supplies equipment and parts to the HVAC & Refrigeration trade. Our parts group is a fast-growing and dynamic team committed to customer service.

We are seeking an experienced Warranty Administrator to manage our warranty claims. In this role, you will discuss the order and expectations with the customer, prepare warranty documents, submit paperwork to the manufacturer, and track requests to ensure we are paid for all warranties submitted. If a claim is denied, you will work with customer for payments and tracking all returns.

Responsibilities:

  • Discuss the warranty claim and expectations with customers
  • Prepare and process warranty documentation according to manufacturer guidelines
  • Submit claims quickly and efficiently
  • Follow up with manufacturers to ensure claims are being processed properly
  • Adjust and resubmit any denied claims to secure payment for warranty work
  • Keep accurate inventory of ordered warranty parts and organize vendor paperwork
  • Arrange for defective parts to be returned to vendors (waybills, customs)

Skills and Competencies:

  • A high school diploma or equivalent
  • 2+ years of experience working in or with warranty processes
  • Excellent communication and organizational skills
  • Intermediate abilities in Microsoft Office (Word, Excel, Outlook and MS Dynamics) and basic Windows environment
  • Consistent attendance, dependability, organizational and communication skills
  • Ability to multi-task, make improvements, energetic, and work well in the high paced fun work environment
  • Ability to establish and maintain effective work relationships with strong customer focus and work with the team
  • Work independently to complete assigned tasks with minimum supervision
  • Knowledge of HVAC system is an asset
  • Is a quick learner who wants to develop their skills
